Keep CALM with SAP Cloud ALM.

SAP Cloud ALM represents a significant step forward in how SAP implementations are now managed.  This cloud-based application lifecycle management solution offers numerous benefits for businesses undertaking SAP deployments, particularly for S/4HANA Cloud projects and its combination of comprehensive functionality, embedded best practices and a user-friendly interface makes it an essential tool for modern SAP implementations.

One of its greatest strengths is that it is immediately available without requiring deployment or configuration activities, so project teams can begin working straight away after a simple onboarding process.

Project Management

SAP Cloud ALM is an excellent project management tool and comes preloaded with SAP Activate content and best practices, which dramatically reduces the time needed to set up implementation projects.  This predefined content includes detailed roadmaps, accelerators, and process templates.

SAP Cloud ALM supports centralised document management, with all project related documents stored in a single location, which improves traceability and ensures all team members work from the latest versions.  Documents can be tagged and categorised, for example as a configuration guide or training material, making them easily searchable.  More importantly, they can be linked to other project elements such as requirements and testing defects, creating a comprehensive library of related information.  The platform also supports rich text-based documentation with status tracking and approval workflows, along with the pre-requisite Gantt charts expected of any good project management solution.  It also supports agile methodologies with sprints, user stories, and agile based analytics such as burn down charts.

Rather than focusing solely on technical configurations, SAP Cloud ALM encourages the implementation teams to start with business processes.  This approach helps ensure implementations remain aligned with business objectives throughout the project lifecycle.  Teams can conduct fit-to-standard workshops more efficiently using the accelerators provided by SAP as part of the Activate methodology, which are all automatically linked to the tasks created when you import the Activate roadmap for the solution being implemented.

There are links to the standard process libraries and to SAP Signavio and, when needed, custom process modelling is fully supported with replication from SAP Signavio back to Cloud ALM.  These process libraries serve as excellent starting points for fit-to-standard workshops and, during these workshops, the requirements, user stories and process variations can be directly documented within the context of the standard processes, creating clear link between business needs and implementation decisions. 

Testing and Quality Assurance

As part of the SAP Activate methodology, you are required to complete end of phase quality gates and obtain sign off from the customer.  Within SAP Cloud ALM, you can manage the quality gate checklist items and use this as your tool to discuss with the customer when obtaining the formal phase sign off, ensuring there is no need for external files or checklists and everything is stored in one location.  This also serves as the single repository for reference if ever required in the future.

SAP Cloud ALM has strong testing capabilities that provide both manual and automated testing approaches.  SAP provides predefined best practice test cases for standard processes for S/4 HANA which can be imported into SAP Cloud ALM, which significantly reduces test preparation effort.  Test automation integration is also available through tools like Tricentis Test Automation, enabling more efficient regression testing.

Defect management is integrated into the testing workflow, making it easy to log and track issues through to resolution.  The system maintains clear links between tests, defects and the original requirements and processes, ensuring nothing falls through the cracks during implementation. 

Here is a little tip!  Create test case templates for common scenarios, then use SAP Cloud ALM’s copy functionality to quickly create variations.  Include detailed test steps and expected results, making it easier for testers to execute them consistently.

Deployment Management

The deployment management capabilities within SAP Cloud ALM help manage production system changes.  You can manage deployments by creating a deployment plan which functions as a collection of the timelines and system groups across multiple projects to which you then assign releases, with the deployment scheduled for the end of the release.  The releases manage the features/requirements that are applied to the production environment and you can have more than one release for a deployment, for example going live with procurement and sales processes at the same time.  These release management features are particularly valuable in complex landscapes, where changes need to be coordinated across different systems and teams.

Transport management in SAP Cloud ALM functions as the central control point for managing changes across your SAP landscape, offering different transport mechanisms depending on the solution type:

  • Adaptation Transport Organiser (ATO) for S/4HANA Public Cloud
  • Change and Transport System (CTS) for S/4HANA On Premise and Private Cloud Editions
  • Cloud Transport Management Service (cTMS) for other SAP cloud solutions

The platform provides comprehensive control and traceability, with each transport request carefully tracked within the context of a feature, creating an audit trail from business requirement through to technical implementation.

For S/4HANA Public Cloud implementations, SAP Cloud ALM also helps prevent common transport issues by checking dependencies and ensuring changes move through development, quality and production environments in the correct sequence, and with forward and import automation you can streamline the deployment of new features to production.

Analytics and Reporting

SAP Cloud ALM includes built-in analytics and reporting functionality.  Project managers can access real-time dashboards showing project progress, test coverage, defect trends, and many other useful metrics.  There are a number of high level overview reports, with the ability to drill down into specific areas for detailed analysis, burndown charts for agile projects, cross-project analysis views for programme level oversight, and trend analysis capabilities that help identify potential bottlenecks or risks before they impact project timelines.  All of these analytical tools support both high level reporting for executives and detailed operational metrics for project teams, with the flexibility to save personalised views.

  1. When implementing projects using SAP Cloud ALM, please consider these recommendations:
    1. Create the initial scope using the DDA upload feature to save time
    2. Make full use of the predefined content, particularly the SAP Activate roadmaps and various accelerators. These will save considerable time in project setup and implementation effort
    3. Establish clear naming conventions for documents, requirements and other project artifacts early in the project
    4. Use tags effectively to categorise and filter project elements. This becomes particularly valuable as the project grows in size and complexity
    5. Take advantage of the integration capabilities with other SAP tools, such as Central Business Configuration
